Malaysia e-Invoice for Consultants (2026 Guide)
Consulting work is usually billed to a company, in milestones or on a retainer. That is exactly the pattern MyInvois is built for — if the client master data is complete and each invoice matches a concluded fee.
This guide is for independent consultants and small practices. Confirm whether you must issue e-Invoices from the HASiL e-Invoice page and the IRBM e-Invoice Guideline (PDF). The submission steps are in How to Create an e-Invoice in Malaysia.
Why consulting invoices fail MyInvois
The fee narrative is rarely the problem. Failures come from billing a group company with the wrong TIN, using a staff member’s email as the only buyer record, or changing the amount after a document was already validated.
- Bill the legal entity named in the contract, not the brand the staff use on LinkedIn.
- Keep one customer record per TIN. A “Group Finance” alias without a registration number will not validate.
- If scope changes after a valid e-Invoice, use a credit note or debit note. Do not overwrite the validated document.
Retainers, milestones, and time-based fees
Each time a fee is concluded, that is the moment for an invoice — and, if you are in scope, an e-Invoice. A signed proposal is still a quotation until you invoice.
- Retainer: invoice on the agreed date each period. Recurring profiles help if the amount is stable.
- Milestone: invoice when the milestone is accepted, using the milestone description as the line item.
- Time and materials: invoice from the approved timesheet or statement of work, not from a round number in chat.
- Success fee: invoice when the trigger in the contract occurs, not when you first started the work.
Do not submit the quotation or the statement of work to MyInvois. Only the invoice (or the IRBM adjustment document) is the e-Invoice. See Quotation vs invoice in Malaysia.
Consulting workflow
- Create the client as a tax party, not only a contact Onboarding should capture TIN, registration number, registered address, and phone. Procurement teams often have this on a vendor form. Copy it once.
- Quote or propose Send a quotation or proposal with fees and validity. Use the Malaysia quotation template fields so conversion to an invoice later is mechanical.
- Invoice the concluded fee Issue the invoice, then submit to MyInvois following How to Create an e-Invoice in Malaysia. Classification should match the service. Many advisory lines use 022 Others when no more specific code fits.
- Adjust with credit or debit notes If MyInvois already validated an invoice and you later discount or add a fee, follow IRBM’s credit note / debit note process. If the first submit never validated, fix the record and resubmit — see MyInvois e-Invoice rejected: what to check.

Frequently asked questions
Should each milestone be a separate e-Invoice?
If each milestone is a separate concluded fee, issue a separate invoice — and a separate e-Invoice if you are required to. Bundling unfinished work into one “progress” document only works if that is truly the commercial invoice you are issuing that day.
The client’s AP team wants a PO number. Where does that go?
Put the purchase order on the commercial invoice so AP can match it. MyInvois still needs the tax fields (TIN, address, classification, tax type). A PO number does not replace a TIN.
We sometimes bill two group companies. Can they share one customer card?
Not if they have different TINs. Each legal buyer needs its own tax profile. Mixing them is a common reason MyInvois returns a TIN mismatch.
