Malaysia e-Invoice Guide for Freelancers (2026)
Freelancers feel e-Invoice most clearly when a company client asks for a validated invoice and your current template is a PDF with a name, an amount, and a bank account.
This page follows the freelance job: quote, do the work, invoice, get paid — and, when required, submit that invoice to MyInvois. It is not tax advice. Confirm whether you must issue e-Invoices on the HASiL e-Invoice page and in the IRBM e-Invoice Guideline (PDF).
Do freelancers need to issue e-Invoices?
If you are conducting business in Malaysia, you are in the e-Invoice population unless an IRBM exemption applies. Individuals who are not conducting business are listed as exempt. Taxpayers with annual turnover or revenue below RM1 million are currently listed as exempt too. Implementation dates for those who are in scope follow IRBM’s phased timeline.
Even if you are exempt, a company client may still request a validated e-Invoice. You can issue voluntarily. If the client is the one who must claim the expense, they often care more than a consumer client does.
Company clients vs consumer clients
- Company or LLP client: collect TIN, registration number, registered address, and phone before you start the project. This is the usual freelance B2B case.
- Individual client who is also in business: they still have a TIN. Do not invent a company name to make the form look “more official.”
- Consumer / general public: IRBM has specific rules, including a general public TIN and classification 004 only in the cases they allow. Do not use 004 on a named Sdn. Bhd. just because the job was small.
Most freelance web, design, writing, and training work billed to a company should use a service classification that matches the work, often 022 Others if no more specific code applies.
Freelance workflow
- Send a quotation State the scope, price, validity date, and payment terms. A quotation is not an e-Invoice. See Quotation vs invoice in Malaysia and the Malaysia quotation template.
- Collect buyer details once Ask for TIN and registered details when the client accepts, not the night you need to submit. Missing buyer TIN is one of the main MyInvois failures for sole proprietors.
- Invoice when the fee is earned Issue the invoice from the accepted quotation so the lines match. If you take a deposit, agree in writing whether that deposit is invoiced now or later. Then follow How to Create an e-Invoice in Malaysia if you must submit to MyInvois.
- Submit and wait for valid before you call it an e-Invoice You can still send a human-readable PDF. The e-Invoice is the MyInvois result. If it comes back invalid, use MyInvois e-Invoice rejected: what to check instead of issuing a second invoice number for the same job.

Frequently asked questions
I invoice from a personal name, not a Sdn. Bhd. Is that allowed?
Sole proprietors and individuals conducting business invoice in their own registered identity. Use the TIN and identification that belong to that identity. Do not borrow a friend’s company TIN.
My client is overseas. Do I still submit to MyInvois?
If you are required to issue e-Invoices, foreign buyers still need the buyer details IRBM specifies for that case, including a recognised country code. Check the current guideline for export and foreign-buyer fields. This page cannot decide your filing position.
Can I keep using WhatsApp invoices?
A WhatsApp photo of a total is not an e-Invoice. You can still chat with clients there. The invoice and, when required, the MyInvois submission need the structured fields listed in How to Create an e-Invoice in Malaysia.
