Free Invoice Template Malaysia: What to Include
A useful Malaysia invoice template is a checklist, not a decorative PDF. If a field is missing, you either get paid late or, when e-Invoice applies, MyInvois rejects the document.
Use this page to build or audit your template. It is a commercial invoice first. If you must issue e-Invoices, add the tax fields IRBM requires — see How to Create an e-Invoice in Malaysia. Official rules: HASiL e-Invoice page and the IRBM e-Invoice Guideline (PDF).
What every Malaysia invoice should show
Supplier (you)
- Business or trading name
- Business address
- Contact email and phone
- Business registration number, if you have one
- SST registration number, if you are SST-registered
Buyer (your customer)
- Legal name — the name that will pay you
- Billing address
- Contact person, email, or phone
- Purchase order number, if they issued one
The bill
- The word Invoice and a unique invoice number
- Invoice date and payment due date
- Currency (usually MYR)
- Line items: description, quantity, unit price, tax, line total
- Subtotal, tax total, and amount due
- Payment instructions: bank name, account name, account number
- Notes or terms (late payment, warranty, or reference to the quotation)
Label the document Invoice, not Quotation. If you are still offering a price, use the Malaysia quotation template instead. See Quotation vs invoice in Malaysia.
Extra fields if this invoice will go to MyInvois
A pretty PDF can still fail as an e-Invoice. Before you submit, the structured record also needs:
- Supplier TIN, registration number, MSIC code, full address, and phone
- Buyer TIN, identification or registration number, full address, and phone
- e-Invoice classification on each line
- Tax type on each line, with totals that match

Example layout (copy the structure, not the numbers)
Header: your name and address on the left, Invoice / INV-00021 / 4 September 2026 / due 18 September 2026 on the right.
Bill to: the customer’s legal name, address, and TIN once you have it.
Lines, for example: “Website design — 1 — RM2,500.00” and “Hosting, 12 months — 1 — RM300.00”, each with a tax type.
Footer: totals, bank details, and “This invoice relates to quotation QTN-00008.” Do not put a MyInvois validation mark on the PDF until the status is valid.
A template you do not have to rebuild each time
Word and spreadsheet templates drift: someone deletes the TIN column, someone types a new invoice number by hand, two jobs share the same number. Software keeps the numbering, customer, and line items together.

Frequently asked questions
Is there an official LHDN invoice Word template?
IRBM specifies e-Invoice data fields and validation through MyInvois, not a single public Word layout. Your commercial PDF can look like your brand. The structured fields still have to be complete when you submit.
Do I need a QR code on the PDF?
Validated e-Invoices have official MyInvois identifiers and a validation link. Follow current IRBM presentation rules for what you print. A decorative QR that does not point to a validated document does not make a PDF into an e-Invoice.
Can I invoice in USD?
Commercial invoices can be in another currency if that is what you contracted. e-Invoice submissions must still follow IRBM’s currency and field rules. Check the current guideline if you bill in foreign currency.
