MyInvois e-Invoice Rejected: 8 Things to Check
A rejected MyInvois document usually means the structured e-Invoice reached IRBM and failed validation. It does not always mean your commercial invoice is wrong. It means one or more required fields did not match what MyInvois expects.
This page is a practical checklist. Use it before you create a second invoice number. For other MyInvois statuses, start at MyInvois e-Invoice troubleshooting. For the full create-and-submit sequence, see How to Create an e-Invoice in Malaysia. Confirm current rules on the HASiL e-Invoice page and in the IRBM e-Invoice Guideline (PDF).
What “rejected” or “invalid” actually means
MyInvois can leave a document pending, mark it valid, or return it as invalid. Pending is not a rejection — refresh the status before you change anything. Invalid means MyInvois found a problem in the data. Valid means you may share it as a validated e-Invoice.
Do not tell the buyer the e-Invoice is done until the status is valid. A PDF you emailed earlier is not a substitute for MyInvois validation when you are required to issue e-Invoices.
8 things to check
Work through these in order. Most first-time failures come from the buyer or supplier profile, not from the invoice description.
- Read the official error, not only the red status Open the document in the MyInvois Portal or in your invoicing software and copy the error code and message. “Invalid” without the field name is not enough. Typical codes include a bad TIN, a classification MyInvois does not accept, or a duplicate submission.
- Check the supplier TIN, registration number, and MSIC code Your own tax profile must include TIN, business registration number, and MSIC / industry code. If any of these is blank or belongs to a different entity, MyInvois will reject the document. Fix this on the business profile, then submit the same invoice again.
- Check the buyer TIN and identification The buyer TIN must match the registration number, NRIC, or other identifier for that buyer type. A trading name on its own is not enough. For a Malaysian company, use the company TIN. For an individual client conducting business, use their TIN and identification number as IRBM requires.
- Complete both addresses Supplier and buyer need address line, city, postcode, state, and country in the form MyInvois expects. A missing state code or a postcode that does not match a Malaysian format is a common fail. Foreign buyers still need a country code MyInvois recognises.
- Add contact numbers Both supplier and buyer need a contact number. An email-only customer record will pass as a commercial invoice and still fail as an e-Invoice.
- Fix classification codes on every line Each line needs an e-Invoice classification. Classification 004 (consolidated e-Invoice) is only for the general public TIN. If you billed a named company or a named individual, use the classification that matches the work — often 022 Others for professional services.
- Match tax types and totals Every line needs a tax type. The invoice tax total must match the lines, within a very small rounding tolerance. If you edited a discount or tax rate by hand, recalculate before you submit again.
- Decide whether to resubmit or issue a credit note If the document was never validated, correct the profile or invoice and submit the same invoice again. If MyInvois already validated it and the commercial details must change, IRBM’s process uses a credit note, debit note, or refund note against the original e-Invoice — not a silent rewrite.
Do not create a duplicate invoice number yet
Repeating the whole invoice with a new number makes your books harder to follow and can trigger a duplicate-submission error if the first document is still in progress. Refresh status first. If it is still pending, wait. If it is invalid, fix the fields on that invoice.
- Pending: refresh. Do not submit a second copy.
- Invalid: correct buyer, supplier, or line details, then submit again.
- Already submitted: do not send the same payload twice.
- Already valid, but the amount is wrong: use the adjustment document IRBM requires.
How to submit again
Correct the underlying record — the customer, your tax profile, or the invoice line — then submit. If you only patch the portal form and leave the customer card incomplete, the next invoice for that buyer will fail the same way.
The create-and-submit steps are in How to Create an e-Invoice in Malaysia. Small businesses, freelancers, and consultants often fail on buyer TIN and address; see the Malaysia e-Invoice for small businesses, Malaysia e-Invoice for freelancers, and Malaysia e-Invoice for consultants pages for those workflows.
If you submit invoices regularly
Checking and resubmitting by hand is manageable for a few documents a month. It becomes slow when the same customers come back and the same fields are missing every time.
GenFinovo keeps the customer, invoice, and MyInvois status on one record. When Malaysia e-Invoice is enabled, it checks readiness before submit, shows the MyInvois errors on the invoice, and lets you refresh or submit again without retyping the document in the portal.

Frequently asked questions
Is a rejected e-Invoice the same as an unpaid invoice?
No. Rejection is a MyInvois validation result. The buyer may still owe you. Do not treat an invalid e-Invoice as a validated tax document, and do not assume the commercial debt disappeared.
Can I just type a new invoice in the MyInvois Portal?
You can, but if the buyer profile is still incomplete, the new document will fail too. Fix the stored customer and supplier details first. If you already have the invoice in software, submit from there rather than retyping.
What if MyInvois is temporarily unavailable?
Keep the issued invoice in your own records. Submit when the service is back. Creating several invoice numbers for the same sale while you wait usually causes more cleanup later.
Where are the official rules?
Use the HASiL e-Invoice page and the IRBM e-Invoice Guideline (PDF). This checklist is practical help, not tax advice.
